When the barcode scanner is docked the updated data is transferred to Solar WebStock. If stock on a particular item is running low, an order is automatically prepared for you. The WebStock stock journal provides a continuously updated overview of all transactions at each individual store. Daily operations The Solar WebStock system enables you to carry out all daily transactions within three main areas of activity: 1. Receiving goods; 2. Consuming goods; 3. Reordering. When receiving goods from Solar, it is important that every item is entered into the correct store location. The store location, user identity, and product data are all registered by means of a scanner. The product data are available as bar codes on the delivery note. After having ascertained that the delivered goods tally with the delivery note, it is also possible to simply enter the order number into “Received Goods” in the system, which is then automatically up-dated. In order to facilitate easy and failsafe identification by scanning, WebStock allows you to print out bar codes for the individual store locations and user identities when receiving goods or consuming goods from stock. The use of portable scanners is strongly recommended as these eliminate the inherent risk of human error when manually entering store location, product data etc. Setting up new stocks When setting up the Solar WebStock system, the system must, naturally, know the identity and location of all the goods in stock. Like with all specific control systems, WebStock requires some initial work to be carried out to register all goods in stock. Each time a new store is put into operation, the first step is to register all the goods available from stock at the particular store. Registration of the goods can be done in different ways. The simplest and most efficient way is to scan all the items in store. Alternatively, it is possible to import the registration documents already available from WebLink. Finally, it is possible to manually feed the data of the goods (product number and number of units) into the system. Reordering The reordering process comprises two phases; analysis and updating. In order to enable control of items marked out for reordering and items actually ordered, the two phases must be dealt with separately. Reordering is done in two steps. First, existing stocks at all stores are analysed in order to establish whether the stock of any items has fallen to below a pre-defined “Stock minimum”. Secondly, two order documents are prepared, depending on whether the order needs to be split up between ‘critically needed’ and ‘not critically needed’ items. It is also possible to set up the system to issue only one order document comprising both critical and non-critical items. When the re-ordering analysis has been completed, there will be minimum one order document for each store. Subsequently, all that remains to be done is to register the reorders in the system. Stock Journal All transactions in the Solar WebStock are saved in a stock journal. This enables quick and easy overview of all transactions carried out during a pre-defined period of time. The system offers various search and filter functions to enable identification of specific data. It is possible, any time, to run a status of all active store locations. All items in stock are scanned and subsequently transferred to the WebStock system via the read-in module. The data collected are then tallied against the data already stored in the WebStock system and the stock record is adjusted accordingly.
